Apex Media AI ("we", "us", "our") is a digital marketing agency based in Ireland. We are committed to protecting your personal data and handling it in line with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.

1. Who we are (Data Controller)

2. What data we collect

  • Booking / enquiry form data: your name, email address, phone number, company name, business type, annual turnover range, project timeline and any other information you choose to provide.
  • Scheduling data: when you book a call through our scheduling provider, the date, time and any answers you give in the booking flow.
  • Technical and usage data: IP address, device and browser type, pages visited, referring URL, time on page, and interactions such as video plays and button clicks.
  • Communications: emails, messages and call notes exchanged with us.

3. Why we use your data and our legal basis

  • To respond to your enquiry and hold a strategy call — legal basis: performance of a contract or steps taken at your request prior to entering a contract.
  • To provide and manage our marketing services — legal basis: contract.
  • To send follow-up and marketing communications — legal basis: consent, or legitimate interest where you are an existing business client. You can opt out at any time.
  • Analytics, advertising measurement and retargeting (Meta Pixel, Meta Conversions API, Google Analytics) — legal basis: your consent, given via our cookie banner or browser settings.
  • Legal, accounting and fraud prevention — legal basis: legal obligation and legitimate interests.

4. Tracking technologies

We use Meta Pixel and the Meta Conversions API to measure the performance of our advertising and to show relevant ads, and Google Analytics to understand how visitors use our site. These tools may set cookies and process identifiers such as your IP address and hashed contact details. Where required, we rely on your consent; you can withdraw it at any time by changing your cookie preferences or using your browser and device ad settings.

5. Who we share data with

We share personal data only with service providers who process it on our behalf under contract:

  • Website hosting and application infrastructure providers
  • Our database and authentication provider
  • Calendly (call scheduling)
  • Meta Platforms Ireland Ltd (advertising measurement)
  • Google Ireland Ltd (analytics)
  • Email delivery providers
  • Accountants and professional advisors where legally required

We never sell your personal data. Where a provider transfers data outside the European Economic Area, the transfer is protected by Standard Contractual Clauses or an adequacy decision.

6. How long we keep your data

  • Enquiry and booking data: up to 24 months from your last interaction with us, unless you become a client.
  • Client records: for the duration of the engagement and 7 years afterwards for tax and accounting purposes.
  • Analytics and advertising data: typically up to 26 months, in line with the provider's retention settings.

7. Your rights

Under GDPR you have the right to:

  • Access a copy of the personal data we hold about you
  • Have inaccurate data corrected
  • Request erasure of your data ("right to be forgotten")
  • Restrict or object to processing, including direct marketing
  • Data portability
  • Withdraw consent at any time, without affecting prior processing

8. Security

We use encrypted connections, access controls and reputable processors to protect your data. No online transmission is completely secure, but we take appropriate technical and organisational measures to reduce risk.

9. Children

Our services are for business owners. We do not knowingly collect data from anyone under 16.

10. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised.
